Terms of Service
Last updated: October 2026
About these terms
This website and our automation services are operated by HA Automations (“we”, “us”, “our”). You can reach us at info@ha-automations.com. By using this site, submitting an audit request, or engaging us for paid work, you agree to the parts of these terms that apply to you.
Some terms we use:
- Agreement Summary: the written summary we email you after our call, setting out the scope, deliverables and fees for your project.
- Build fee: the one-off fee for the initial setup and development of your automations.
- Monthly fee: the recurring fee for running, hosting, monitoring and supporting your automations.
- The automations: the code, workflows and configurations we build or run for you.
Website use
By using this site and submitting an audit request, you agree to these terms. You confirm that the information you provide is accurate to the best of your knowledge and that you are authorised to share it on behalf of your organisation where applicable.
Automation audit
The free automation audit is offered at our discretion. Submitting a request does not create a binding contract for paid services. We will review your information and respond within one to two business days where possible. Content on this site is for general information only, and ROI calculator figures are illustrative estimates, not guarantees of savings or outcomes.
Engaging us for paid work
After an initial call, we email you an Agreement Summary setting out what we have agreed: the scope, deliverables, build fee and monthly fee for your project. The Agreement Summary is the specific record of your engagement.
If anything in your Agreement Summary conflicts with these terms, the Agreement Summary applies.
Payment
You pay through a Stripe Payment Link, usually on the call. Payments are processed by Stripe; we do not see or store your card details. Your engagement begins once your first payment is made. Fees are as stated in your Agreement Summary. We are not registered for VAT, so no VAT is added at present.
Build fee
The build fee covers the initial setup and development of your automations. Once we have started that work, the build fee is non-refundable.
Monthly subscription
The monthly fee covers the ongoing running, hosting, monitoring and support described in your Agreement Summary. You can cancel at any time by emailing info@ha-automations.com. When you cancel, we refund the unused days of the current month on a pro-rata basis. After cancellation your licence to use the automations ends and we may switch them off.
Ownership and licence
We keep ownership of all the automations we create, including anything built on reusable components we already own. While your subscription is active, we grant you a non-exclusive, non-transferable licence to use the automations for your own business. This licence ends when your subscription ends.
Full ownership of the code and workflows is available by separate written agreement; we will quote the fee for that on request.
Your data stays yours. The records, content and customer data you put into or take out of the automations remain your property. The data protection section below explains how we handle any personal data on your behalf.
Your responsibilities
- Give us accurate information and tell us if it changes.
- Make sure you are authorised to engage us and to give us the access we need to your systems.
- Maintain your own accounts for any third-party tools we connect to. The costs and terms of those tools are between you and the provider.
Data protection
Where we process personal data on your behalf while providing the services, you are the controller and we are the processor under UK GDPR. The processor terms required by Article 28 are set out in Schedule 1 below and form part of these terms.
Liability
Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud.
Subject to that, our total liability to you for any claim connected with the services is limited to the total fees you paid us in the 12 months before the claim arose. We are not liable for indirect or consequential losses, or for loss of profit, revenue, data, goodwill or business, however they arise.
Confidentiality
Each of us will keep the other’s non-public business information confidential and use it only to carry out, or receive, the services.
Term and termination
These terms apply while you use this site or we provide services to you. Either of us may end a paid engagement as described above or in your Agreement Summary. We may suspend or end the services if fees are unpaid or if these terms are seriously breached.
Changes to these terms
We may update these terms from time to time. The version on this page at the time you pay applies to that engagement, and the “last updated” date above shows when we last changed them.
Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

Schedule 1: Processor terms (UK GDPR Article 28)
These terms apply where we process personal data on your behalf as your processor. Words such as “controller”, “processor”, “personal data”, “processing” and “data subject” have the meanings given in the UK GDPR and the Data Protection Act 2018.
Details of the processing
- Subject matter: providing and running the automations described in your Agreement Summary.
- Duration: for as long as we provide the services, plus any short period needed to return or delete the data.
- Nature and purpose: collecting, storing, organising, transmitting and otherwise handling data as needed to operate your automations.
- Type of personal data: as determined by your use, typically contact details and business records you route through the automations.
- Categories of data subjects: your customers, leads, staff and contacts, as applicable.
Our obligations
- process the personal data only on your documented instructions (including these terms and your Agreement Summary), unless we are required to do otherwise by law;
- ensure that the people we authorise to process the data are under a duty of confidentiality;
- take appropriate technical and organisational security measures, as required by Article 32;
- not engage another processor (a sub-processor) without your general authorisation; we keep a list of our sub-processors and will give you reasonable notice of any intended change so you can object;
- assist you, so far as reasonable, in responding to data-subject requests and in meeting your obligations on security, breach notification, impact assessments and prior consultation (Articles 32 to 36);
- notify you without undue delay after becoming aware of a personal data breach;
- at the end of the services, delete or return the personal data as you choose, unless we are required by law to keep it;
- make available the information needed to demonstrate compliance with Article 28 and allow for and contribute to reasonable audits.
Sub-processors and international transfers
We use trusted service providers to run the automations and our business (for example hosting, database, email and analytics providers). Where this involves transferring personal data outside the UK, we take steps to ensure an appropriate safeguard is in place as required by UK GDPR. We can provide our current list of sub-processors on request.
